Getting Started with Trellis Club-Controller- Monthly Accounting

We love getting to work with customers in helping them create simplicity and clarity. This is an overview of our onboarding process so you know what to expect.

PHASE 1- SETUP

  • Setup or Optimization of QuickBooks Online

  • Payroll Migration (to Gusto or another service) and ensuring payroll is ready to go and accounts are mapped to the right place.

  • Setup of any other apps or tools. For example and bill pay tool.

  • Gathering information needed (Read Only Access to Bank Accounts / Business Info )

PHASE 2- Monthly RYTHMS

  • You will get an email via our secure system(Karbon) at the beginning of each month with a checklist of items we need from you. Often this is a sales report (if not directly connected), Bank or Credit Card statements (if we don’t have read only access).

  • You can securely upload documents, ask questions, or mark tasks completed. Our system auto sends email reminders of any uncompleted items. Please ensure you check off any tasks once they are complete as this will stop the reminders.

  • We will work through your monthly transactions, adjusting things as needed, and ensuring your books are accurate. We’ll then send you another checklist with questions related to certain transactions or other information we need based up the prior month’s activity.

  • We will reconcile your accounts (Bank Statements, Credit Card Statements, Lines of Credit, Loans, etc each month).

  • We will then generate custom visual reports that include a visual overview of the month and year to date. We will customize these reports according to your needs.

  • We will upload the reports to our secure portal called Sharefile. You will get an email notification when the reports are ready and will have unlimited access to the current report as well as previous reports. You can expect these between the 15th and 20th of the month.

  • Meeting- we will schedule the monthly 45 minute video meeting to review the financials, go over questions, etc. We try to schedule the meeting 1 month out.

  • We offer unlimited support and pride ourselves on being responsive. Email your main point of contact and we would love to help solve whatever issues arise. If we need to schedule a meeting related to your question, we’ll send you a link of availabe time.

  • We are learning more about your business the first months and seek to fine tune your accounting process. We will likely have more questions the first few months around transactions and processes that will help reduce the amount of questions down the road.

  • We are fixed fee for our services and your will subscribe via our billing system. The monthly fee will auto bill on the 15th of the month. We accept ACH (free) via our billing software or Credit Card (with a fee) if you prefer to pay via card. We revisit our pricing yearly. If the amount of work has significant changes due to growth or new systems, we will be upfront with you on any increased pricing.

  • At the end of each year we’ll generate a year end tax packet including (a payroll detail report, year end bank statements/ credit card statements, copies of 1099 forms we filed on your behalf, and other backup/support for the tax return
